Our Lady of the Lake, Minutes of the Administration Commission Meeting

September 24, 2020

This meeting was done on Zoom.

The meeting was opened with a prayer led by Monsignor Makarewicz. Attendees were Charles Cassmeyer, Bob Cotter, Eric Brauman, Robert Adams, John Riley, Brian Hamrin, Tom Ziegler, Larry Buschjost and Monsignor Makarewicz. Jim Tapella and Luke Graessle were excused.

Minutes from the August, 2020 meeting were reviewed and approved.

Monsignor introduced Dr. Laura Nelson who is the Superintendent of Schools for School of the Osage School District.  She will be joining the Commission and will focus on Human Resources Activities.

Old Business:

a. Long Range Plan Update:  Prior to the meeting Luke sent an email to the Commission members concerning the Long Range Plan status.  The following summarizes that email.

“I talked to Brian Connell this morning and his situation has not improved.  He said he is still interested in our project but will more likely be able to work on this later this year.  As far as a completion date, the end of the year is in jeopardy and he would be very comfortable committing to the end of the first quarter 2021.  He said if we need to go another direction he would understand.

My thought is that he has a good understanding of what our issues are and he has ideas to address our concerns, he just needs to get past some other big commitments that will resolve this fall and he will then be able to take on our project.  Going in another direction would be starting from zero and by the time we went out to bid and brought someone else up to date we would likely be on a common timeline.  Also we know that everybody has been greatly impacted by the consequences of the pandemic.

He stated that if we have any other suggestions he would like us to send them to him for consideration when he can focus on our project.

My recommendation is we stay with Connell Architects and adjust our timeline based on the reality of the situation.”

The Commission discussed the email and the situation faced by Connell Architects and concurred with the recommendation that we stay with them and adjust our timeline accordingly.

b. Rectory:  The Rectory remodel project is almost completed.  Some items that remain include some painting, backsplash and some minor electrical and plumbing work.
c. Permanent Streaming:  We will meet with a vendor for cameras on September 25th to review our needs and discuss options.
d. Pandemic Protocol:  No changes will be made at this time.
e. Security Cameras:  We are still waiting for bids for additional security cameras.
f. Religious Education Classes:  Religious education classes are occurring with ½ class sizes.
g. Network Infrastructure:  Brian and Monsignor will be meeting on network infrastructure and will report back at the next meeting.
h. Safety and Security:  Eric is working on a report summarizing the meeting with other churches and the police department.  Recommendations will be forthcoming.

New Business:

a. Dead Trees and Overgrowing Brush:  A contract to remove dead trees and brush was approved with a cost of $850.
b. Use of Restricted Funds:  The Rectory and Playground funding was discussed because the amounts required additional review.
c. Terms of office for Commission:  Terms of office for Core Members and Associate Members was discussed.  The following summarizes the terms of office:

a. Duke Dorge and Marty Mayer’s core member terms completed in 2020.
b. Larry Buschjost, Luke Graessle, and Tom Ziegler’s core member terms will complete in 2021.
c. Bob Cotter and Robert Adams core member terms will complete in 2023.
d. Charles Cassmeyer’s term as the Commission’s Finance representative will complete in 2022.
e. Brian Hamrin, Eric Brauman and Jim Tapella’sassociate member terms will complete in 2023.

d. Election of Officers:  Bob Cotter was elected Chairperson, Larry Buschjost was elected Vice Chairperson, and Luke Graessle was re-elected as Secretary.

The next meeting will be October 22, 2020 at 5:00 p.m.
